About the role:

The Keyless Coordinator is responsible for managing the end-to-end operations of keyless smart locks, ensuring smooth functionality, security, and accessibility across all relevant properties. This role requires maintaining accurate records, overseeing inventory, generating access codes, and coordinating with internal and external teams such as Linko and keyless solution providers to resolve technical and operational challenges in a timely manner.

Key Responsibilities:

  • Maintain an updated inventory of all keyless smart locks, including installation locations, serial numbers, models, and warranty details.

  • Track the stock of smart locks, batteries, and other related accessories, ensuring timely replenishment.

  • Coordinate with procurement teams for acquiring new smart locks as required.

  • Coordinate with keyless to add additional buildings under our inventory.

  • Conduct periodic audits to verify the availability and condition of locks in all properties.

  • Generate and distribute secure access codes for keyless smart locks based on authorized requests.

  • Maintain a log of all issued codes, tracking usage history and expiration timelines.

  • Implement a structured process for code activation and deactivation to enhance security.

  • Regularly test the functionality of codes and locks to prevent access-related issues.

  • Serve as the primary point of contact for the Linko team and Keyless service providers.

  • Report, escalate, and follow up on any system malfunctions, connectivity issues, or operational inefficiencies.

  • Ensure firmware updates and software integrations are implemented smoothly without service disruptions.

  • Coordinate with the Guest Support and Operations teams to ensure guests and staff have seamless access to properties.

  • Monitor system alerts related to keyless locks and proactively address potential issues.

  • Provide guidance and support to on-ground teams in case of access failures or lock malfunctions.

  • Develop contingency plans and alternative access solutions in case of system failures.

  • Maintain detailed records of all smart lock transactions, issues reported, and resolutions provided.

  • Prepare regular reports on inventory status, lock usage, and security incidents related to keyless access.

  • Ensure compliance with security policies and data privacy regulations regarding access control.

  • Implement best practices for preventing unauthorized access or code misuse

  • Identify opportunities to automate processes related to code generation and access tracking.

  • Work on optimizing workflows to enhance operational efficiency and reduce manual errors.

  • Monitor the record of smart locks that are returned from the owners due to property handover.

  • Ensure the charges are being posted in landlords account for smart lock installation.
